Optimising NGO Work through Digital Tools, Communication and Project Management

MaxiNGO is an Erasmus+ cooperation project that helps youth organisations improve the way they plan, coordinate, communicate and implement their work. The project supports NGOs in becoming more organised, sustainable and effective in their daily project management and international cooperation. Through a training course, local activities, exchange of practices and practical resources, MaxiNGO strengthens the capacity of youth organisations to manage projects, support teams, use digital tools and create meaningful impact.

Project

MaxiNGO was created to support youth organisations in improving the quality and efficiency of their work. Many NGOs manage international projects, local activities, teams, participants, budgets, communication and follow-up processes at the same time. Without clear systems, this can become overwhelming and reduce the long-term impact of their work.

The project focuses on practical solutions for everyday NGO work. It brings together partner organisations to exchange experience, analyse challenges and develop tools that help NGOs coordinate projects, communicate with teams, prepare participants, organise documents, manage dissemination and evaluate results.

MaxiNGO combines non-formal education, peer learning, practical workshops, digital coordination tools and local implementation. The project supports youth organisations in building stronger internal systems and more sustainable working practices.

Context

Why this project
exists

Youth organisations often work with limited time, small teams and many parallel responsibilities. They need clear structures, practical templates and digital tools that make their work easier and more sustainable.

MaxiNGO responds to this need by helping NGOs optimise their work processes. The project creates space to discuss real organisational challenges, test practical solutions and develop resources that can be used by youth organisations beyond the partnership.

The project strengthens quality youth work by focusing not only on activities, but also on the systems that make good activities possible.

  1. 01

    Project preparation and coordination

    The project begins with coordination between partners, clarification of responsibilities, preparation of the training course, communication with participants and collection of organisational needs. Partners align expectations, timelines and practical arrangements.

  2. 02

    Training Course — Latvia

    10–15 July 2025 · Bernāti, Latvia

    The international training course brings together representatives of youth organisations to explore NGO management, project coordination, quality standards, teamwork, internal communication, digital tools, dissemination and sustainable impact. Participants exchange experience and work on practical solutions for real organisational challenges.

  3. 03

    Local testing and implementation

    After the training course, partner organisations and participants test selected tools, templates and methods in their local contexts. This phase helps check what works in practice and how the resources can be adapted to different organisational realities.

  4. 04

    Toolkit and resources development

    The project develops practical resources for NGOs, including templates, examples, instructions, dissemination guidance, evaluation tools and project management tips. These materials are designed to be useful, simple and adaptable.

  5. 05

    Dissemination and multiplier events

    Partners share the project results through local activities, communication channels, social media and multiplier events. The aim is to make the resources visible and useful for other youth organisations and NGOs.

  6. 06

    Finalisation and sustainability

    The project concludes with the finalisation of resources, collection of feedback, evaluation of results and planning for future use. The developed tools and practices can continue supporting NGOs beyond the project lifetime.
